As part of our commitment to support Fairfax Meadow’s evolving operational needs, we were appointed to advise the national food supplier on renewal, surrender, and cost management across three industrial buildings.

Faced with upcoming lease events and a change in their operations, Fairfax Meadow sought to adapt their space to align with new production needs and maintain long-term flexibility. Most recently, this involved the renewal of two leases and the successful hand back of a third, where we ensured the client’s operational needs and cost efficiencies were fulfilled. 

Early conversations between Bidwells and Fairfax Meadow proved critical. A full dilapidations assessment explored several space reduction scenarios, weighing up reinstatement costs, operational efficiency, and logistics considerations such as HGV access and parking. 

Forward planning and detailed analysis guided the decision to release the building that was the least altered, easiest to separate from the rest of the site, and least disruptive to day-to-day logistics. Its position on the site allowed Fairfax Meadow to maintain essential lorry access and parking for its production activities. This strategy minimised reinstatement costs, reduced financial exposure, and ensured business continuity throughout the process. 

Negotiation and delivery

Through careful negotiations, we secured new lease terms on the remaining two units, achieving reduced headline rents, a rent-free period, and a five-year break clause to support our client’s contractual flexibility. Direct discussions with the landlord ensured a fair and proportionate dilapidations settlement for the surrendered unit.  

The landlord’s initial claim of £130,000 was reduced to approximately £30,000 through negotiation and close oversight of reinstatement works.

This project builds on a partnership spanning more than four decades, providing support across Fairfax Meadow’s national portfolio. From rent reviews and lease renewals, to reinstatement assessments and site acquisitions, the relationship continues to evolve as the business grows and its operational needs change.
